Everything you need to know to use RSCOM Interventions every day, from the customer’s first call to the invoice.

🚀 Getting started

Which devices does the app run on?
On Android (tablet and phone), on Windows and in the browser (app.rscom.ch). The data is the same everywhere and updates in real time.
How do I sign in the first time?
With the e-mail and temporary password given by your administrator. You then choose your own password and scan a QR code with Google Authenticator (or similar): this 6-digit code is asked at every sign-in (mandatory two-factor authentication). Day to day, your fingerprint unlocks the app on compatible devices.
Why is my device “awaiting approval”?
To protect your data, each new device must be approved once by an administrator (Administration › Authorised devices). A lost device can be revoked remotely. On the web, clearing the browser’s cookies counts as a new device: it will need to be approved again.
How do I change the language?
Photo menu › My profile › App language: French, English or Portuguese. Dates and pickers follow the language. It can also be chosen on the sign-in screen, before signing in.
How are updates installed?
The app offers the new version itself when it opens (Android, Windows). On the web, a banner asks you to reload the page. If the app stays open for a long time: My profile › Check for updates. What’s new is explained in My profile › What’s new & roadmap.
Does it work without a network?
Yes, for the essentials: the current report is saved continuously on the device (nothing is lost, even if the app closes). Messages and stock movements are sent automatically when the network returns.

⏱️ Statuses and working time

What are the statuses for?
One tap is enough: Driving (travel timed and billed), On site (labour at the customer’s), Remote (remote support, no GPS, signature optional), On break (timers stopped) and Finished. The status feeds the timers, GPS tracking, attendance and the chat. On the web (office computer), “Driving” and “On site” are greyed out: work there is remote.
How is billed time calculated?
Timers run according to the status, then the rule in Rates & billing applies: e.g. to the quarter hour with a tolerance, and very short times free of charge (the app then asks: free, bill 15 min or decide later). Each report is Billable, Non-billable or To be decided; the PDF shows real and billed time. If you forget, use “Add time manually”.
Who decides on “To be decided” jobs?
A manager, in Administration › Billing to decide: Bill or Non-billable. The report is only sent to Odoo after this decision. Handy when a problem is not solved yet.
Several technicians on the same job?
Add a co-technician: labour is counted for each person and each technician gets their own timesheet in Odoo.
One trip for several customers?
“Shared travel” splits the travel time between the customers visited on the same round.
What if I forget to switch to “Finished”?
The app reminds you at 8 h and then 9 h of work (even with the app closed). Beyond 9 h, the manager gets an e-mail and sees “⚠️” in the fleet: they can end your day themselves. The next day, a day left open is closed at the time of your last activity.

👥 Customers and calls

How do I create a customer quickly?
“New customer”: official Swiss addresses are suggested as you type, and a company name can be taken from the commercial register (Zefix) or the search.ch directory, with its address and company ID.
A customer calls: what do I do?
“New call” button: who called, number, e-mail, subject, urgency. The customer is recognised automatically from their number or e-mail. Choose the technician: a service file is created and the technician is notified at once.
What if I don't know yet who will go?
Leave it “unassigned”: the file appears in Unassigned, with a red counter, until an administrator assigns it.
Let the customer know I’m on my way?
When switching to “Driving”, the app can send an arrival notice by SMS or e-mail, with a “Track your technician” link valid during the trip. Directions, call and SMS are one tap away on the customer card.
Send the customer an SMS or a WhatsApp?
From the customer card or a quote: “SMS on behalf of the company”, with the chosen sender name. The “WhatsApp” button opens WhatsApp with the message already written (free, sent from your phone). Foreign numbers: pick the country code.
Are SMS limited?
Yes, to keep costs under control: only the countries ticked by the administrator are allowed, 40 SMS per day and per person, and automatic messages (arrival notice, report sent) stay off until enabled. The history (sender, country, device) can be exported to CSV or sent by e-mail.
How do I archive a former customer?
On the customer record, Archive button (box icon), with a warning. The customer is no longer offered in searches (main screen, quotes, files, calls), but the record, reports, files and assets are kept. They stay visible in Customers › Archived, and the customer can be unarchived at any time. “Archive customers” permission.
How do I find and merge duplicate customers?
Customers › Duplicates lists records that are probably duplicates (same name, phone, customer number or address). Choose the record to keep, then Merge: reports, files, assets and quotes move to that record, and its empty fields are filled in. “These are not duplicates” removes a group from the list.

📝 Service report

How do I write the report?
Jot down a few words (or dictate them) in the work log, then tap “Write with AI”: the AI turns them into a clear text for the customer, which you approve or edit.
How do I add hardware?
Three ways: type the line (description, brand, model, serial number, licence, supplier, price excl. or incl. VAT — VAT is calculated); “From stock” (search or scan); or “Import from a quote”.
Photos, videos and documents?
“Photo / Video” or “Browse”: PDF, JPG, PNG or MP4, up to 20 MB in total. They are attached to the report and its e-mail.
How do I get it signed?
The technician and the customer sign directly on the screen; each signature can be locked. For remote work, signatures are optional. Tip: untick “Show prices” before asking for a signature if the customer should not see the amounts.
What happens when I send the report?
A PDF in your company’s branding is created, e-mailed (or printed), filed in the customer’s history and sent to Odoo (task, timesheet, attached PDF). Reprinting or resending the same report never creates a duplicate.
How do I know Odoo received the report?
A green “Synced with Odoo” message confirms it. If something goes wrong, an orange “Report NOT sent to Odoo” message gives the reason: nothing is lost, the report stays saved.
Find an old report?
Customer card › History. You can also search by serial number, model or a word from the report, for one customer or all of them.

📁 Service files and tickets

What is a service file?
A customer request tracked from A to Z: To do, In progress, Finished, Invoiced, with the related messages, time and reports.
Where do service files come from?
From a “New call”, an e-mail to support (AI summarises the request, recognises the customer and sends a numbered acknowledgement), the “Open a ticket” form on your website (customers only) or manual entry.
The customer replies to the e-mail: where does it go?
Into the same file, thanks to the [#123] number in the subject. You reply from the app and the e-mail goes out from the support address.
How do I organise the team's day?
The service file board shows the cards by status or by technician: drag a card to change its status or assign it.
How do I receive photos or videos from a customer?
In the service file, Ask the customer for photos / videos creates a secure link, sent by SMS, WhatsApp or e-mail. The customer uploads from their phone or PC, no account or app needed: photos, videos and PDFs, up to 2 GB per file. They arrive straight in the file, and the team gets an e-mail. The link is time-limited and can be deactivated.

💼 Quotes

How do I prepare a quote?
Start from a template, a blank page, or describe it to the AI (a few words, dictation or a photo of a supplier offer): it proposes the blocks, the Odoo catalogue items and the labour, and flags what needs checking.
Variants and subscriptions?
A quote is made of blocks: optional variants (each with its own total), one-off, monthly or yearly prices.
How does the customer accept?
The quote is sent as a PDF by e-mail (or a link by SMS) and can be signed online. It is created in Odoo; once accepted, its status updates and its lines can be imported into the report.
Can a quote be made entirely by voice?
Yes. New quote › Prepare with AI: on a tablet or phone, the microphone starts by itself. Say for example “quote for (customer): a server at 2,400 francs, installation one day, optional NAS”. The AI recognises the customer, creates the sections, uses the catalogue prices and counts labour; it flags anything missing. On Windows: Windows + H to dictate.

🛡️ Assets & warranties

What are assets for?
To know each customer’s hardware, licences and subscriptions, with their expiry dates (warranties, renewals).
How do I add a device quickly?
Take a photo of the label, packaging or invoice: AI reads the brand, model, serial number, reference and barcode. Barcode or QR scanning is also available.
Will I be told about expiries?
Yes: a summary e-mail is sent every day to the chosen recipients, and the “Assets & warranties (all customers)” view lists what expires soon.
How is the warranty end calculated?
Enter the purchase date and the duration (“3 years”, “36 months”): the due date is calculated automatically. A Care Pack is entered with its number; the date can still be changed by hand.
Check HP, HPE or Lenovo warranties?
In the inventory, the “Check warranties” shield: in batches of 20 on the official HP or HPE website (numbers copied, results pasted back, dates filled in at once), or automatically through the HP / Lenovo API once the manufacturer access is set up. Nothing changes without your approval.
Find a customer’s or a brand’s equipment?
“Assets & warranties” can be filtered by customer and by brand (HP and HPE kept apart), typing to search. From the customer record, the “Assets & warranties” button shows their equipment.
How do I enter the warranty duration and type?
The duration is entered in years (“3”): the end date is calculated from the sale date. The Warranty type menu offers the Lenovo / HP equivalents: Onsite NBD (default), Depot, Premier Support / Active Care, ADP, KYD / DMR, battery, international. Several choices are possible.

📦 Stock

Where do I manage stock?
Photo menu › Stock: items (brand, model, reference, barcode, price, alert threshold) and their quantities at the office and in each vehicle.
How do I create an item?
“New item”: photo of the label (AI fills in the fields), barcode scan or an item from the Odoo catalogue. Enter the initial quantity and its location.
Stock in, out, transfers, stocktake?
Everything is done from the item card, and every movement stays in the history (who, when, how many). The “Below threshold” filter shows what to reorder.
Add or edit an item from the report?
Yes: in “From stock”, the New item button and each item’s ⋮ menu (Stock in, Edit item), without leaving the report.
Delete an item or a movement?
Only for people with the “Delete / archive in stock” permission (ticked by the administrator). Each deleted movement is recorded in the action log; a transfer is deleted as a whole.
Does stock go down when I use an item?
Yes: with “From stock” in the report, the quantity is taken out when the report is saved — never twice, even if you correct or reprint it. With a serial number, the device joins the customer’s assets automatically.
Stock size, colour and filters?
Each item has its size (“2 m”) and colour (“black”); the report and the PDF show “S/FTP Cat.6 cable – 2 m – black”. Stock can be filtered by location, brand, category and colour.

🧾 Expenses

How do I enter an expense (parking, fuel, postage…)?
Photo menu › My expenses › New expense, or “Expense (parking…)” in a report. Take a photo of the receipt: AI reads the amount, VAT, date and place. Choose my own money (to be reimbursed) or company card.
Is the expense re-invoiced to the customer?
From a report, “Re-invoice to the customer” is ticked: the expense becomes a line of the same report (same invoice). Untick it case by case.
Where do I find my expenses?
In My expenses, by year and month, with their Odoo state (to approve, approved, paid). Each expense arrives in Odoo › Expenses with the photo; those created in Odoo also show in the app and stay editable until approved. With the permission, an expense can be archived or deleted: deleting also removes it from Odoo, after a warning.

💬 Messages and team

What can the chat do?
Write to the office, the whole team or one person: text, photos, videos and voice messages, urgent messages, links to a customer or service file, and read receipts.
How do I know if a colleague is available?
A badge shows their status, taken automatically from the main screen (Driving, On site, Remote, On break), or “Available” / “Offline”. With “My status”, anyone can add a message or “Do not disturb”.

📍 GPS tracking

When is my location shared?
Only during work: sharing stops at the “Finished” status. Managers see the live fleet and the trip history.
Who can see the history?
Only people with the “View GPS tracking” permission. The history can be deleted by technician and period.
Does GPS tracking show the address?
Yes: each position shows the nearest full address (street, number, postcode and town), from the official Swiss building address directory; outside Switzerland, from OpenStreetMap.

🌴 Leave and attendance

How do I request leave?
“My leave”: the request goes to Odoo and is approved by the manager, who also sees the team schedule and public holidays.
And attendance?
As you choose: automatic clocking through the work statuses, or through the Odoo badge kiosk. “My attendance” shows the week.

🔐 Administration and security

Who has access to what?
Three roles — Super Admin, Admin, Technician — and per-menu permissions, enforced by the server: an unauthorised action is refused, even outside the app.
How do I manage accounts?
Administration › Technician accounts: creation with a temporary password, role, permissions, photo, “works in the field”, deactivation. The action log shows who did what, and when.
And our customers' passwords?
They are kept in an encrypted vault (KeePass, OTP codes), opened only with the right permission and after confirming your identity.
Who can delete or archive?
Nobody by default: each deletion or archiving (customers, quotes, files, reports, inventory, stock, expenses, GPS, messages) is a permission to tick per account in Technician accounts › Permissions. Creating and editing remain possible without it.
What if someone tries to guess a password?
After 5 failed attempts within an hour (password or code), the account is locked and the administrator gets an e-mail alert. Without the 6-digit code, a stolen password gives access to no data. Every attempt is visible in Action log › Sign-ins.
Can the app be adapted to our company?
Yes: logo and colours on the PDFs, rates, categories, e-mail texts, connection to your Odoo… Contact us for a demo.
Is the data backed up?
Yes: an automatic full backup every night (database and all files), with an off-site copy hosted in Switzerland, and a backup before every update. The super administrator can also start a backup, set retention and download backups (My profile › Backups).
Can the action log be exported?
Yes: in the Action log, Export creates a CSV (Excel) file of the displayed actions (period, person, filters), and Send by e-mail sends it as an attachment to the recipients chosen in the e-mail notifications.
